Tropics System Administration modules provide the necessary tools and processes for complete system configuration to the clients' requirements. The security set up module provides tools for securing individual actions and processes to groups of employees. Access to these modules is restricted to the designated system administrators.

In summary, the system configuration modules provide the following facilities:

Company (Carrier) Definition – provides access to creation of company (a carrier, self-insured group, etc.) and setting up certain values for the companies. In addition to names, addresses, phones, etc., over 100 process control parameters such as policy numbering method, anniversary date method, cancellation reinstatement methods, etc., are set up at the company or carrier level.

Product Definition – a product is a workers' compensation plan that a company or carrier offers. Guaranteed Cost products and Loss Sensitive products such as incurred loss retro and large deductible plans are defined through this module. For each product, eligible states and rating schema per state, credit/debits, and other pertinent configuration parameters are defined.

Billing Plan Definition – many different installment-based and reported payroll billing plans can be defined in Tropics. Different methods of premium distribution including pro-rata billing and endorsement billing are supported.

Policy Forms and Endorsement Definition - this module provides tools for creating policy and endorsement form templates and associating forms with policy issuance and endorsements. When a policy is issued or endorsed, the system automatically generates the associated forms.

Client Report Configuration – clients may create their own reports using Crystal Reports and add the reports to the Tropics menu system through this tool. The reports can be grouped based on clients' requirements and each group of reports can be secured to certain users. Interactive parameters may also be defined with a report prompting the user for input before the report is run.

Code Tables and other Underlying Data Tables - through a large number of code and basic system data tables, Tropics provides flexibility of configuring and customizing the systems to the clients' requirements. Class code and rate tiers, injury codes, payment codes, SIC/NAIC codes, business type codes are just a few of a large set of tables that afford ultimate customization flexibility. To eliminate data entry errors and to provide further flexibility, almost every list box in the user interface is driven by the client-controlled code tables.

Work Management & Document Management – the system administration also provides an extensive set of tools for defining workflows, teams, roles, document types, document templates, claims forms, etc. Please refer to the Work Management and Document Management systems for further details.

External Processes – external processes are customized routines that run outside of Tropics processes. These routines may be developed by Tropics Software Technologies or by the client in conjunction with TST. The system administration provides methods for the client technical staff to integrate external processes into the Tropics user interface.

Security Management

Tropics provides security over 1,100 distinct processes in the policy and claims system. A process code is assigned to each screen, command button, menu selection, or group of data fields controlled by a command button. For instance the "Add" button in application processing screen has a distinct security code which allows the system administrator to secure it to certain users.

Authorization for processes is given to "user groups". User groups are set up to assist in assigning the same authority to multiple users. Users are then enrolled in the necessary group, or groups, to assign authority appropriate to their jobs. By assigning a process to a group, any user within the group inherits the rights to use that process. User exceptions may be assigned to vary the group processes among group members.

A sophisticated and easy-to-use security management system provides options for creating users, groups, assigning processes to groups, assigning users to groups, and other necessary administrative functions for the system security.

In addition to access-oriented security, the claims system security limits users to the maximum amount of payment and reserves in each category.
